Terms & Conditions


By making a booking I accept the terms and conditions set out below by Bike Box Hire at Bike-Box-Hire.co.uk:


Bike-Box-Hire.co.uk (“Bike Box Hire”) will provide bike bags and boxes (hearby referred to as “bike box(es)” “bike bag(s)” “item(s)” or “goods”) to customers for transporting bikes. Bike-Box-Hire uses several different brands of box including but not limited to Polaris. and Biknd and Clients will receive the particularly product which they requested at the time of booking unless this is no longer possible for any reason.


The Hire Fee is daily and discounted rates apply from the 8th day onwards. Daily rates apply for every day that the box is hired out, which includes but is not limited to the date of collection and return. Additional charges will be added in the event the bike box is damaged, missing any parts or returned later than the date specified in the booking. The standard daily rate for your item is payable for each day the bike box has not been returned, on top of the entire cost of any missed bookings as a result of your delayed return.

In addition to the daily Hire Fee, a £100 security deposit is payable per bag/box.

Payments can be made by Paypal, BACS, Cash, Credit/Debit Card via Stripe Payment Gateway on our website

Security deposits will be returned within 7 days of the return of the goods (providing they are in satisfactory condition).

No booking is guaranteed until the full Hire Fee has been received.


The lease term shall begin and end as stated on the booking confirmation form. Alternative arrangements may be made on a discretionary basis. As stated above under “PAYMENT & SECURITY DEPOSIT”, delays in returning the goods without prior agreement will result in additional charges.


Collections can be made between 9:00am and 5:00pm on your day of collection however upon confirming your booking a mutually suitable time will be agreed. We aim to be as flexible as possible, however we cannot promise that there will be availability if you come outside of the agreed hours.


The goods may be used in a careful or proper manner. Please ensure that your bike and components are clean before packing the box. All foam, lanyards, strapping and any other accessories provided with the item at the time of collection, must be returned with the box in satisfactory condition.


We recommend that you take out cycling insurance that will protect you should the bike box become damaged in transit.

We recommend Yellow Jersey Cycle Insurance, which offer holiday cover for you and your bike.


Should the box become damaged whilst in air transit then please ensure you report the damage whilst at the airport otherwise it may invalidate your insurance.

Bike-Box-Hire.co.uk does not accept any liability for damage to bikes, accessories or any other equipment whilst using any equipment/items from Bike Box Hire. Our items are provided to help protect equipment from damage however it is the responsibility of the client to ensure that their equipment is fully protected, which may or may not require additional protection and precautions to be taken.

If for any reason you damage your item whilst it’s in your possession, we will do our best to find the cheapest solution to repairing/replacing the damaged
goods/part(s). Unfortunately in the unlikely event that this does happen you will be liable for these repair/replacement costs as well as the costs for the entire duration of any arranged booking(s) that are missed as a result…


Please give us a contact number so we can hold of you for collection and return of your bike. Satnavs are great but sometimes we get delayed in traffic or road closures and we’ll need to call you to let you know we’re running late!

If you fail to be in when we’ve arranged to collect or return your bike you will still be charged the full amount (see cancellation terms and conditions below).


Please be aware that your bikes and bags may be searched at any point on our journey, so please don’t pack any illegal items. By agreeing to our terms and conditions you are taking full responsibility for all items encompassed within your belongings (including your bike itself). We take no responsibility for any items deemed illegal by customs or any other law enforcements.


In the event that the Client wishes to cancel this contract for any other reason other than National Disaster the Client will be liable to pay cancellation charges as follows:

  1. Cancellation made 29-59 days prior to the Start Date: 25% of Hire Fee
  2. Cancellation made 15-28 days prior to the Start Date: 50% of Hire Fee
  3. Cancellation made less than 15 days prior to the Start Date: 100% of Hire Fee


This contract reflects the verbal agreement, and shall include any terms and conditions agreed prior to its issue, and shall be deemed accepted unless a written objection is received within fourteen working days of the issuing date, unless the hire has commenced.

These Terms and Conditions shall be governed by and construed in accordance with the law of England and the parties hereby submit to the exclusive jurisdiction of the English courts.
